1. Who we are
The Leicestershire MS (Multiple Sclerosis) Therapy Centre ("the Centre", "we", "us", "our") is a registered charity based in Leicester. We operate the website at leicsmstherapycentre.org.uk (the "Site"), which provides information about our services, a membership programme, fundraising activities, and a blog.
For the purposes of UK data protection law, the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, we are the data controller of personal data collected through this Site.

2.1 Enquiries and contact
If you contact us by email, phone, or any contact form on the Site, we collect your name, email address, phone number, and the content of your message.
Purpose: To respond to your enquiry and, where relevant, to arrange a consultation or membership.
Legal basis: Legitimate interests (Article 6(1)(f) UK GDPR), it is in both parties' interests to handle enquiries properly. Where your enquiry relates to a health condition, we additionally rely on your explicit consent (Article 9(2)(a) UK GDPR) for any health information you choose to share.
2.2 Membership
When you join the Centre (annual membership: £40), we collect your name, contact details, and any health or condition information relevant to your treatment or therapy.
Purpose: To administer your membership, provide services, and ensure your safety while using the Centre's facilities.
Legal basis: Performance of a contract (Article 6(1)(b) UK GDPR); and explicit consent or substantial public interest in the health context (Article 9(2)(a) or (j) UK GDPR) for health data.
2.3 Donations and Gift Aid
If you make a donation, we may collect your name, address, and email. If you elect to Gift Aid your donation, we are required to retain your name and address by HMRC for at least four years.
Purpose: To process donations, acknowledge gifts, and comply with Gift Aid record-keeping obligations.
Legal basis: Legal obligation (Article 6(1)(c) UK GDPR) for Gift Aid records; legitimate interests for general donation acknowledgement.
2.4 Website analytics
When you visit our Site, certain technical data is collected automatically. This may include your IP address (anonymised where possible), browser type, device type, pages visited, time on page, and referring URL. See Section 5 (Cookies) for full details.
Purpose: To understand how visitors use the Site and to improve it.
Legal basis: Consent (Article 6(1)(a) UK GDPR) for any non-essential analytics cookies; legitimate interests for server-level logs strictly necessary to keep the Site running.
3. Special category (health) data
Because our Centre supports people living with MS and similar conditions, some of the personal data we handle is special category data (health data) under Article 9 UK GDPR. This attracts stricter protections:
We only collect health information that is directly relevant to providing safe, appropriate services.
We process it only on the basis of your explicit consent, or where necessary for the management of health or social care services.
We do not use health data for profiling, marketing, or any other secondary purpose.
Access is restricted to authorised staff and trustees who need it to provide your care.
4. How we store, protect, and retain your data
We use appropriate technical and organisational measures to protect personal data against unauthorised access, loss, or disclosure. Our Site is hosted on Hostinger's infrastructure with HTTPS encryption.

6. Sharing your data
We do not sell or share your personal data with third parties for their own marketing. We may share data only in the following circumstances:
- Hostinger, our website hosting provider, acting as a data processor on our behalf under a Data Processing Agreement.
- GiveWheel / other donation platforms, if you click a donation link, you will be redirected to a third-party platform operating under its own privacy policy. We may receive a record of the donation (name, amount) for charity accounting.
- HMRC, Gift Aid declarations are shared with HMRC as required by law.
- Facebook, if you visit our Facebook page via a link on the Site, Facebook's own privacy policy governs that data.
- Legal or regulatory authorities, where we are required to do so by law or a court order.
Where we use third-party processors, we ensure appropriate data processing agreements are in place.
7. International transfers
Our website is hosted via Hostinger, which may process data on servers within the UK/EEA. Some third-party tools (such as Google Analytics, if used) may transfer data to the United States. Where this occurs, transfers are safeguarded by appropriate mechanisms such as Standard Contractual Clauses (SCCs) approved under UK GDPR.
